What does a Microsoft 365 license include?

We recommend Microsoft 365 Business Standard (unless you don’t need the desktop versions of the Office apps, in which case go for Microsoft 365 Business Basic).

Email & Calendar

Microsoft’s enterprise class email system is included with Microsoft 365 Business Basic and Standard licenses. Once the domain of large companies with multiple servers, Microsoft Exchange is also available to small businesses and includes all of the main features such as Mailbox Sharing, Distribution Lists, Out of Office replies, email diversion, instant mailbox and contact/calendar synchronisation with all devices connected to the same email account. Compatible with all Apple and Android phones and tablets, Windows PCs and Apple Mac computers.

OneDrive

We are all guilty of storing work and personal files on our Desktop or in the Documents folder. Most organisations don’t backup an individual’s computers so should anything happen to them all data stored in these locations could be lost. OneDrive gives your users an online storage area linked to their own user license. Files stored in OneDrive can be stored both on the user’s computer and in the cloud simultaneously, so it can be used to automatically backup a user’s Desktop and Documents folders. With just a few mouse clicks, it can even be used to share share files and folders with colleagues or customers. With Microsoft 365 you are given 1TB of storage for all your important files.

SharePoint

SharePoint is Microsoft’s flagship document storage and collaboration tool and is included with both Microsoft 365 Business Basic and Standard licenses. SharePoint at it’s most basic can be used to store your businesses data. Powerful indexing, version control and business automation can be used to help you make the most of your data. Files and folders can be locked down so only named personnel can access them, and data can be shared with internal and external users to aid in collaboration.

Microsoft Teams

Microsoft Teams is the ultimate messaging app for your organization—a workspace for real-time collaboration and communication, meetings, file and app sharing.  Teams has rapidly become the standard for video/audio meetings but expands the service to include powerful collaboration and storage capability.

Microsoft Office Apps

The worlds most widely used suite of productivity tools. Includes Word, Excel, PowerPoint, Outlook, Access and OneNote. With Microsoft 365 you can be assured your business is always running the latest version of Microsoft Office. Microsoft 365 Business Standard also allows you to install Office on up to 5 computers (you must be the main user of all of the computers). Microsoft 365 Business Basic provides online-only version of the apps, with limited functionality.

Essentially with the Basic license you can only create or edit documents stored online (i.e. in One Drive or Sharepoint) and you cannot use it to edit existing documents that are stored on your computer.

Online version of Word, Excel, Outlook and Powerpoint offer a fraction of the tools and options you get with the full desktop package but give you the basic functionality required to create or edit documents, spreadsheets, emails and presentations.

You cannot use this version of office if your computer is not connected to the internet.

Yes you can.

As long as you own the domain name and have full domain DNS control over your domain then Microsoft 365 can be configured to use your own domain name.

Typically if you have your domain registered with companies such as Fasthosts, GoDaddy, 123-Reg, or Easyspace, you should be able to make them work with Microsoft 365.

Microsoft have introduced a new pricing structure known as New Commercial Experience, or NCE for short.  What this means is that you have a choice of two different pricing structures:

Monthly – This is the most expensive of the two options but means you are only tied in for 1 month and can reduce or increase the amount of licenses you buy on a monthly basis without any penalty. This pricing model is best for new or established companies that expand or contract their workforce on a regular basis.

Annual – This is the cheaper of the two options, but you are committed to purchasing a minimum of the initial licenses for a full 12 months. The total monthly price stays the same for a year even if you no longer need all of the licenses. After the 12 months is up then you can adjust the number of licenses you require and commit to a further 12 months at that level. You are able to add licenses at any point within the 12 months and be charged accordingly. This pricing model is best for established companies that have little or no changes to the total number of employees.

OneDrive is essentially personal cloud storage that can be used to store any kind of information that only the user would normally access. OneDrive can be set up to mirror local files on your computer, so these files can be accessed online.

OneDrive can also be used to keep an ongoing backup of the user’s Desktop, Documents and Downloads folders making it easier to transfer to a new computer (just log in to OneDrive on the new computer and all of your files and folders will immediately appear). OneDrive can also be used to share files and folders with people within and outside of the organisation.

Sharepoint is Microsoft’s flagship document management system. At it’s most basic level it is cloud storage that allows you to store, index, manage and share documents to people inside or outside of your organisation. Controls can be put in place to restrict access to sensitive information at both file and folder level.

Sharepoint also has version management controls, change alerts, business automation functionality and can also provide the ability (via OneDrive) to synchronise a local copy of the data on your computer.

With additional software we can also make Sharepoint look like a traditional mapped drive to a server – so should you want to move from a server to a cloud-based environment we can retain all of your existing shortcuts (such as the W: drive for accounts and M: drive for marketing)

There are a whole host of additional features and applications that can be purchased through your Microsoft 365 subscription. If a user suddenly needed to use Microsoft Project, or Visio for a few months or years then we can add the license to their user account and add it to the monthly bill. If you no longer need it (and are on the more flexible monthly payment plan) then you cancel it and it is removed from your monthly bill.

Other features that can be added include:

Microsoft Azure Active Directory – This gives extra functionality based around the users existing Microsoft 365 user account.  This can be used in tandem with or instead of an office-based domain controller server. 

Microsoft Intune – This can be used to automate a user’s experience when logged on to the company system, for example, locking down certain programs or services that are deemed inappropriate for business use. It can automate the encryption of devices accessing company information, it can make company approved applications available for download from your own company portal plus allow for functionality such as remote wipe should the device fall into the wrong hands.

Microsoft Teams domestic dialling plan – Use Teams as your office phone and have the ability to call normal phone numbers direct from the application.

Backups – Automated daily cloud backups of all Microsoft 365 content including Emails, OneDrive and Sharepoint

AntiSpam – Identifies and removes most spam and malicious emails so they never hit your inbox.
