SharePoint is Microsoft’s online document management system – think of it as a digital filing cabinet in the cloud. It can also act as your company’s intranet – useful for securely keeping employees up to date and sharing files, news stories, important dates and much more. The end result? Effortless and secure collaboration with team members inside and outside your organization, across PCs, Macs, and mobile devices.

SharePoint is included with Microsoft 365 Basic and Standard licenses and can be used to replace your current cloud storage solutions (or physical servers) meaning you could save money on expensive server replacement or unnecessary additional subscriptions to services such as Dropbox, iCloud or Box.

SharePoint: How It Works

Moving to a new document management or collaboration platform can feel like a bit of a mountain. We’re here to support you through the process and ensure that all the finer details are taken care of.

Initial discovery and planning

If your organisation currently stores its data on physical servers, NAS drives or even in cloud storage such as Dropbox, the first step is usually to meet and go through your current system – so we can recommend the best methods for transferring your data into SharePoint.

We will check for the amount of data storage you will need, how complex your current file security permissions are, and maybe take the opportunity to simplify your security structure to maintain data integrity while making it easier to grant or deny access to the right people or teams.

We will put together a migration plan which minimises disruption and will give you an enterprise class secure document system accessible from anywhere.

Hassle free migration

Once we have agreed what your SharePoint solution will look like, we go ahead and set up SharePoint sites for your business, migrating data across to the new setup.

Many companies are moving away from storing their documents on a traditional physical server. People hate change and we can help with that! We can set SharePoint up to look exactly the same as your old system. If your staff are used to going to the F: drive for finance information, we can map an F: drive to the finance information in SharePoint.

Sensible and controlled access policies

We work with you to set up sensible and controlled access policies to make sure your staff only have access to the data they need and are allowed to see.

Access data through a secure website or use OneDrive

SharePoint data can be accessed either through a secure website (intranet) on any web browser or you can use OneDrive to synchronise some or all of the SharePoint data onto your own devices in a similar way to Dropbox.

Frequently Asked Questions

Currently an organisation with an eligible Microsoft 365 license is granted 1TB of storage per user, plus an additional 10GB of storage per licensed user which goes into the organisation’s pool of storage available.

You can share files or folders with individuals in many different ways, but you can share links to folders which can be accessed by the recipient without needing a Microsoft license.

Links can be locked down with a password and even an expiry date.

If you have a support contract with Ounsworth IT then you can even ask us to share the data on your behalf so you can be assured it is done correctly.

There are many ways you can access your SharePoint data.

You can log in to your SharePoint website and view files and folders online.

Or you can use One Drive to synchronise a local copy of your SharePoint onto your computer. Any work carried out on the local copies will instantly synchronise back to SharePoint.

Ounsworth can also provide a system which recreates a typical server setup where you can access SharePoint files through a series of mapped drives, so you could have a T: drive pointing to the Training SharePoint folders etc. This is a great way of ensuring users don’t have to learn new ways of accessing data that used to be found on your old physical servers.

This depends on how you used to store and access your data previously. If you already have your files in cloud storage such as Dropbox then you would no longer need to pay for that subscription as OneDrive and SharePoint do the same job and are included in your Microsoft 365.

Physical servers could feasibly be retired once data has been transferred to SharePoint. Servers can be expensive to maintain and support so there would be savings on ongoing support and regular replacement costs.
